Understanding Meeting Statuses

In Bizly, each meeting is assigned a Status to help you track your progress. These statuses tell you exactly what stage your event is in and what action you need to take next.

The Event Lifecycle

What it means

Your Next Step

You have created a meeting shell but haven't started an inquiry yet.

Begin building your event details (Dates, Guest Count, etc.).

Your inquiry is in a "Draft" state. You have details saved but haven't sent them to venues.

Finalize your venue shortlist and click Submit.

Your requests have been sent! The Bizly Concierge team is now working with venues to get you fast responses.

Monitor your inbox for "Proposal Received" notifications.

You have received proposals or rejections. It’s time to compare your options.

Use the Messages tab to ask questions or click Accept on your top choice.

You have accepted a proposal! The system is now waiting for the legal paperwork.

Route your contract for signatures and upload the PDF to Bizly.

The signed contract is uploaded. Your venue is officially secured.

Coordinate final event details directly with the venue Sales Manager.

The event has passed and you have uploaded the final invoice.

Review your final spend for reporting and budget reconciliation.

Other Statuses You May See

The meeting was manually closed. This is a permanent status and prevents further sourcing or management.

  • Proposal Expired: The venue's decision deadline has passed. You will need to Request an Extension to reactivate the proposal.

💡 Pro Tip: Filter by Status

If you are managing multiple meetings, use the Filter button on your Events page to view only "Review Responses" or "Upload Contract" events. This helps you prioritize your most urgent tasks for the day!
