Room Inventory Isn't Released Yet- Many hotels and venues work on rolling availability, meaning they might not have their room block allocations set that far in advance. Some properties prioritize filling short-term demand before committing to long-term bookings.
Rate Strategy & Revenue Management β Hotels adjust their rates based on demand, and September and October are a high-demand period. The revenue team may not have finalized pricing yet, especially if they are waiting to see how occupancy trends evolve.
Contracting & Approval Processes β Some venues require internal approvals before sending proposals, especially for large room blocks or meeting spaces. This can involve multiple departments, including sales, catering, and revenue management.
Sales Team Priorities β Sales teams often focus on filling immediate-term business first. If September is still considered "long lead" for them, they might not be prioritizing proposals for that time frame just yet. Same thing as point number one. Too far in advance!
RFP Volume & Response Time β If a venue is receiving a high volume of RFPs, they may be slower to respond, especially if they anticipate competition for space or expect pricing to change closer to the date.
