Who signs the contract?

It takes at least two parties to forge a contract. Two's a party.

After a venue proposal has been accepted by the client or user, the venue will initiate the drafting or creation of the contract. Once ready and duly signed by the venue, this will be sent over to the client for review. If there are pre-existing arrangements negotiated and entered into by both parties previously, these will also be incorporated into the final contract. Depending on the level of authorization set by the company, the event organizer may sign the final contract or need to route it for higher approval. The level of authorization varies from one company to another. As such, when in doubt, it would be prudent to consult the Meetings & Events admin of your company.

A few things to keep in mind when reviewing the agreement:

  • Check the dates, times, and number of attendees for any event space.

  • Check the dates and number of guest rooms for each day.

  • Review the cancellation and attrition section of the agreement so you’re aware of the financial liability should you need to cancel.

  • Don't sign a contract if there’s any uncertainty that the event will occur.
